Non-Exempt/Hourly Employees

On February 13, 2023, you will have access to HomeTrust Bank’s Time Management module of UKG and should begin recording your time. As a non-exempt, or hourly, employee you are responsible for entering time worked into your timecard on a daily basis. Follow the instructions in the UKG Quick Reference Guide to enter your time worked. You should enter your time worked for each day prior to leaving work for the day.

Timekeeping Protocol

All non-exempt employees are expected to clock in and out daily by using the time and attendance system (UKG). All timesheets must be submitted weekly by non-exempt employees on or prior to their last shift worked for that week.

The time and attendance system will provide a seven-minute window on each side of the shift’s start and end times. Any time recorded within that seven-minute window will be rounded to the regular shift start and end time for pay purposes. Any time recorded outside of that seven-minute window will be rounded to the next quarter of the hour (15-minute increment) for pay purposes.

Example:

Jane’s regular shift is 8:00 am – 5:00 pm with a 1-hour lunch break. Jane clocks in via UKG at 7:55 am. The system will automatically round her clock in time to 8:00 am. Jane clocks out at 5:10 pm. The system will automatically round her clock out time to 5:15 pm.

Managers & Time Management

If you are a manager, you are responsible for reviewing and approving each of your employees’ timecards on a weekly basis. Timecards must be approved weekly by managers on or before Mondays at 9:00 am. The UKG for Supervisor’s Guide can be downloaded from the UKG How-To Guides below. It includes information on how to access Time Management, respond to a request for time off, and approve timecards.

Paid Time Off

Your available Paid Time Off (PTO) balance, Community Service, and Floating Holiday hours will be available to view in the Time Management module of UKG by the end of the day on legal day one. To view your balance, log in to UKG, and under “Myself”, select Time Management.  Then navigate to Scheduler > Requests.

Upcoming Bank Conversion and PTO

As preparation continues for the merger and systems conversion, we are putting in place the following guidelines for taking PTO now through approximately March 17.

  • Employees with active involvement in the merger should not take PTO while the merger is underway (from now through approximately March 17) with very limited exceptions. If an exception is needed, please contact Tom Adelaar in Human Resources for next steps.
  • Employees without active involvement in the merger may plan PTO on a case-by-case basis with their manager based on business needs by following your normal process for requesting time off.
  • For customer facing or critical operations roles, employees will be most needed by their customers the first week after system conversion for information or customer support.
